The club's mailbox, not one person's
The address and its password are all it takes, and your messages stay with your provider. You choose who can open the mailbox, to read or to reply. And when the secretary hands over, the mailbox stays with the club.

A message can be handed to someone, marked as handled or set aside until Monday. You see what's for you and what nobody has taken: no more forgotten messages because everyone thought someone else was dealing with them.

Questions
Will our current mailbox work?
Yes, if it's a standard mailbox: your hosting provider's (OVH, IONOS…), or Gmail with an app password, a separate password you create in your Google account. You keep your address and your provider: the messages stay with them.
Who can read the club's mailbox?
Only the people you open it to, by role (the club secretary, for example) or one by one. For each of them, you choose: read, reply, manage everything, or only set up the mailbox without seeing the mail. Whoever adds the mailbox can read it; the club owner sets it up without reading the messages.
